BensBodyFitness is committed to protecting and respecting your privacy in line with the GDPR (2018).
This Policy explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others as well as how we keep it secure.

This policy may change from time to time so please check this document occasionally to ensure that you are happy with any changes. By using our services, you are agreeing to be bound by this policy.
In this Data Protection Policy, BensBodyFitness is referred to as we, us, our or BBF.

What information is collected from you, and how?

At BBF we need to collect certain information, such as; name, address, date of birth, email address, contact telephone number, next of kin, medical information, gender, fitness objectives and occupation to ensure our services are suitable and appropriate. However, you are under no obligation to provide any of these details to us.
We will have obtained information about you when you have enquired about personal training or completed our Consultation, PAR-Q, Informed Consent Agreement, Client Contract or Client Progress Tracking.

How is your information used?

Where you have consented, we may provide you with marketing information about our products and services. In addition, we will keep you informed of events that we think will be of interest to you.

We may process your information to ensure that you are provided with all the benefits available to you as a client of BensBodyFitness and to comply with our legal obligations.
We do not keep any of your bank account details as payments are made via BACS, PayPal or cash.
To comply with requests from you including if you exercise any of your rights noted in this Data Protection Policy, enforcing our legal rights or to defend legal proceedings and for general administration purposes, we will never share your information with third parties.

How long do we keep your data for?

Unless we explain otherwise to you, we will retain your personal data on the basis of the following guidelines:

  1. All paperwork relating to your Consultation, PAR-Q, Informed Consent Agreement, Client Contract or Client Progress Tracking will be kept for the duration of our service to you.
  2. For as long as we provide services, and someone could bring a claim about us, in line with legal and regulatory requirements or guidance.
  3. For as long as we have a reasonable business need, such as managing our relationship with you and managing our business.
  4. If you have requested that we do not send you marketing information we will always retain sufficient information to ensure that we remember to comply with your request.

Who has access to your information?

Your personal data will be treated as strictly confidential and will not be shared with third parties.

All Consultation, PAR-Q, Informed Consent Agreement, Client Contract or Client Progress Tracking will be shared with any BBF trainer for the purpose of safe and effective delivery of our service to you.

Your choices with us

You have a choice about whether you wish to receive information from us. Should you no longer wish to receive direct marketing communications via email, text or social media, then you can notify us by contacting the Data Protection Officer, Ben Alderton via email: ben@bensbodyfitness.com.

This only applies to marketing communications. We are not restricted in contacting you in regard to a contract that you have with us, or from informing you of changes or disruptions to services.

How you can access your information

You have the right to ask for a copy of the information BBF holds about you by contacting the Data Protection Officer, Ben Alderton via email: ben@bensbodyfitness.com in line with the General Data Protection Regulations 2018.

The use of our website

The website and its owners take a proactive approach to user privacy and ensure the necessary steps are taken to protect the privacy of its users throughout their visiting experience. This website complies with all UK national laws and requirements for user privacy.
